1 Β· Initial Email
2 Β· Follow-Up (Day 5, no response)
3 Β· Log a Response

Something true and specific β€” from their site, their about page, a program they run. Keep it a short phrase so it fits into a sentence. Example: "trauma-informed care for at-risk youth," or "reinvests proceeds into free arts education."

Generated Initial Email

Saving replaces this lead's email in the Outreach tab with this version β€” the follow-up and response templates there stay the shared ones.

Never name the Alignment Check, a product, or a pitch before pain is confirmed. If asked what you do, answer in one sentence and redirect to their story.
PICK ONESuggested opener for this lead
BEFORE 0 MINDisclosure β€” say this first, every time
"Quick heads up before we start β€” I'm going to record this so I don't miss anything. That OK with you?"

Get an actual yes before you hit record, not just a pause. Recording-consent rules vary by state β€” PA and MD generally require everyone on the call to agree, not just you β€” so asking every time, regardless of where they're sitting, is the safe default. This isn't legal advice; if you want certainty on a specific state, that's worth five minutes with someone who actually practices this.

0–2 MINOpen
"When you think about your team, where does things running well still hit a wall, and what's actually behind that stall?"

Generic fallback β€” use the suggested opener above instead if this lead has a mission fact on file.

2–10 MINRun β€” let them talk

Do not interrupt to clarify or redirect. Let the answer run until it naturally slows down.

ANCHORName the one concrete detail worth chasing
REFLECTConfirm it landed
"So it sounds like [anchor detail] β€” is that right?"
10–13 MINNarrow β€” the pain
"What did that actually cost you β€” in time, money, or a decision you kept putting off?"
13–15 MINUrgency test
"Would you have paid to know this before you hit the wall?"
CLOSEWrap
"This was useful, thank you. If it's alright, I'd like to follow up if a question comes up as I keep researching this."
Rep Validity Check

This is the rule the whole quota runs on. Answer honestly β€” the Ed Vaughan call is the example of what disqualifies a call.

Transcript (after the call, once you have one)

Save it here for the record, then use the button below to get a ready-to-paste prompt for a Claude conversation β€” that's where the actual business-coach breakdown happens, not in this tool. Save the conversation above first so there's a record to attach this to.

ICP

Leader or manager at a 20–200 person organization within a 100-mile radius of 19382 (West Chester, PA) β€” covers Philadelphia, Wilmington, Lancaster, Reading, Harrisburg, Baltimore, and South Jersey. Healthcare, nonprofit, education, or professional services. Not currently mid-rollout on a major AI system β€” you want orgs still asking "what do we even do," not orgs already executing.

Vertical hypothesis β€” Notary / Title Companies

Process-leg only, deliberately cut off from Purpose and People this round: these firms are hypothesized to be behind on paper filing and other administrative document-processing work β€” physical document handling, filing deadlines, compliance paperwork. Don't name that hypothesis first. Open with the standard Script-tab question, let them land somewhere on their own, and use the Anchor step to narrow toward filing and admin backlog once they've named something close to it. Skip Copy Creator for this vertical β€” its angles are all mission/values-worded, and a forced mission fact from a title company's About page will read weaker than the plain process question already in the Script fallback.

Scrub sources

  • Apollo.io β€” free plan company search, filter by employee count and location
  • LinkedIn company search β€” filter by industry, headcount, geography
  • Chester County Chamber of Business & Industry member directory
  • Western Chester County Chamber, Southern Chester County Chamber, Greater West Chester Chamber
  • Local SHRM / ATD chapter rosters and event calendars
  • Warm-adjacent asks β€” people in your network who know a manager in range

Capture fields per lead

Company, contact name, title, email, LinkedIn, industry, employee count, city/state, source, referred by, and an optional mission/values fact (a real line from their About page β€” powers the Copy Creator and the suggested opener on the Script tab). Matches the Add Lead form on the Leads tab.

The four rules

  • Never name the Alignment Check, a product, or a pitch before pain is confirmed.
  • Test urgency, not resonance β€” "would you have paid to know this" beats "does this sound familiar."
  • Run, anchor, reflect, narrow β€” let them talk, name the detail, confirm it, then ask the narrow question.
  • A call that breaks rule one doesn't count toward the 20, no matter how good the conversation was.

How this works, step by step

The count only moves when you log things here β€” not when they happen in Gmail or on a call. Here's what to log at each stage.

1 Β· Leads

Every company you scrub gets one lead record β€” either + Add Lead for one at a time, or – Bulk Add to paste a whole batch at once (Company | Contact | Title | Email | Source | Mission Fact, one per line β€” Mission Fact is optional, leave it blank and just end the line with a trailing | if you don't have one yet). Every lead starts at status "Scrubbed." This is the only step where you're creating records, not logging activity.

2 Β· Copy Creator (optional, before you send)

If you have a real fact about the company's mission or values, use this tab to generate a tailored opener instead of the generic one β€” pick the lead, paste the fact, choose an angle, Generate, then Save to This Lead. Skip this and the Outreach tab falls back to the generic template automatically.

3 Β· Outreach β€” log every send and every reply

Select the lead, hit Compose in Gmail, actually send it from your inbox, then come back and click Mark as Emailed β€” that's the step people skip, and it's the one that moves their status and the response-rate KPI. Same pattern for the day-5 follow-up. When they reply, pick the response type, hit Save Response β€” this is what moves someone to "Booked" and is where the Calendly link shows up for an interested reply.

4 Β· Conversation Script β€” log during or right after the call

Pick the lead, work through Run β†’ Anchor β†’ Reflect β†’ Narrow β†’ Urgency Test as the call happens, then answer the Rep Validity Check honestly before you hit Save Conversation. That checkbox β€” did you name a product before pain was confirmed β€” is the one thing standing between a call that counts toward the 20 and one that doesn't.

5 Β· Dashboard

Check the KPI row once a week, not daily. Days left, valid reps against 20, leads in pipeline, response rate. If valid reps aren't climbing roughly five a week, the fix is more leads scrubbed and sent, not more time spent looking at this screen.

Bulk Add Leads

One lead per line, fields separated by a pipe: Company | Contact Name | Title | Email | Source | Mission Fact. Source and Mission Fact are both optional β€” leave a slot blank between pipes if you skip one. A mission fact auto-generates three suggested curiosity-conversation questions for that lead.

Add Lead

A real, specific fact about what this org stands for β€” feeds the Copy Creator and auto-generates three curiosity-conversation questions below.
